Enterprise Resource Planning (ERP) systems attempt to integrate several data sources and processes of an organization into a unified system. A typical ERP system will use multiple components of computer software and hardware to achieve the integration. A key ingredient of most ERP systems is the use of a unified database to store data for the various system modules.

ERP is package software solution that addresses the enterprise needs of an organization by tightly integrating the various functions of an organization using a process view of the organization. It is package software and not a custom made software for a specific firm. It understands the needs of any organization within a specific industry segment. Many of the processes implemented in an ERP software are core processes such as order processing, order fulfillment, shipping, invoicing, BOM processing, purchase order processing, preparation of Balance Sheet, Profit and Loss statement etc., that are common to all industry segments. That is the reason why the package software solution works so well. The firm specific needs are met through a process of customization. ERP addresses not merely the needs of a single function such as finance, marketing, production or HR. Rather it addresses the entire needs of an enterprise that cuts across these functions to meaningfully execute any of the core processes.
ERP integrates the functional modules tightly. It is not merely the import and export of data across the functional modules. The integration ensures that the logic of a process that cuts across the function is captured genuinely. This in turn implies that data once entered in any of the functional modules (whichever of the module owns the data) is made available to every other module that needs this data. This leads to significant improvements by way of improved consistency and integrity of data. ERP users the process view of the organization in the place of function view which dominated the enterprise software before the advent of ERP. The process view provides a much better insight into the organizational systems and procedures and also breaks the "kingdoms" that work at cross-purposes in many organizations. To implement such a demanding software one needs high performance computing, high availability systems, large, high speed high availability on line storage and high speed, high reliable net works, all at affordable cost. Though many ERP software vendors have been around for more than two decades, ERP software started to make major inroads into the corporate world only in the last couple of years. Interestingly Indian corporate houses are taking the ERP route exceptionally fast, even by world standards in the past two years.

Thus, it is an industry term for integrated, multi-module application software packages that are designed to serve and support multiple business functions. It attempts to integrate all departments and functions across a company to create a single software program that runs on one database. ERP modules may be able to interface with an organization’s own software with varying degrees of effort, and depending on the software ERP modules may be alterable via the vendor’s proprietary tools as well as proprietary or standard programming languages.

Role of Integration in ERP

Integration is an extremely important part to ERP's. ERP's main goal is to integrate data and processes from all areas of an organization and unify it for easy access and work flow. ERP's usually accomplish integration by creating one single database that employs multiple software modules providing different areas of an organization with various business functions.

Although the ideal configuration would be one ERP system for an entire organization, many larger organizations usually create and ERP system and then build upon the system and external interface for other stand alone systems which might be more powerful and perform better in fulfilling an organizations needs. Usually this type of configuration can be time consuming and does require lots of labor hours.

ERP Improves Productivity

Before ERP systems, each department in an organization would most likely have their own computer system, data and database. Unfortunately, many of these systems would not be able to communicate with one another or need to store or rewrite data to make it possible for cross computer system communication. For instance, the financials of a company were on a separate computer system than the HR system, making it more intensive and complicated to process certain functions.

Once an ERP system is in place, usually all aspects of an organization can work in harmony instead of every single system needing to be compatible with each other. For large organizations, increased productivity and less types of software are a result.

Implementation of an ERP System

Implementing an ERP system is not an easy task to achieve, in fact it takes lots of planning, consulting and in most cases 3 months to 1 year +. ERP systems are extraordinary wide in scope and for many larger organizations can be extremely complex. Implementing an ERP system will ultimately require significant changes on staff and work practices. While it may seem reasonable for an in house IT staff to head the project, it is widely advised that ERP implementation consultants be used, due to the fact that consultants are usually more cost effective and are specifically trained in implementing these types of systems.

One of the most important traits that an organization should have when implementing an ERP system is ownership of the project. Because so many changes take place and its broad effect on almost every individual in the organization, it is important to make sure that everyone is on board and will help make the project and using the new ERP system a success.

Usually organizations use ERP vendors or consulting companies to implement their customized ERP system. There are three types of professional services that are provided when implementing an ERP system, they are Consulting, Customization and Support.

Consulting Services - usually consulting services are responsible for the initial stages of ERP implementation, they help an organization go live with their new system, with product training, workflow, improve ERP's use in the specific organization, etc.

Customization Services - Customization services work by extending the use of the new ERP system or changing its use by creating customized interfaces and/or underlying application code. While ERP systems are made for many core routines, there are still some needs that need to be built or customized for an organization. Support Services- Support services include both support and maintenance of ERP systems. For instance, trouble shooting and assistance with ERP issues.

1960
The history of ERP has its roots in the inventory control systems developed in the 1960s to manage inventory according to traditional inventory concepts. Over the next decades as business become increasingly complex and global, companies came under pressure to improve their competitiveness by lowering operation costs and improving logistics. ERP aims at helping the management for setting world class better business practices and equipping them with correct and real time information for taking timely decisions.

1970
In the 1970’s the focus shifted to MRP (Material Requirement Planning) systems that translated the Master Schedule built for the end items into time-phased net requirements for the sub-assemblies, components and raw materials planning and procurement.

1980
In the 1980’s the concept of MRP-II (Manufacturing Resource Planning) evolved which was an extension of MRP to shop floor and Distribution Management activities.

1990
In the early 1990’s MRP-II was further extended to cover areas like Engineering, Finance, Human Resources, Projects Management etc. i.e. the complete gamut of activities within any business enterprise. Hence the term ERP (Enterprise Resource Planning) was coined.

Why ERP?
Integration
Standardization
Process Improvement
Improvement of Organization structure
Reduce costs through increased flexibility
Best Business Practice
Documentation
Increased Customer Satisfaction
Faster Customer Response
Reduced Cost
Staff Optimization
Increased Transparency & better information flow
Higher Reliability of Data
Financial Consolidation
Position’s the Company for Growth
Enterprise Cleaning
Improve Productivity
Speak One Language
No Duplication of Work
Corporations go for ERP either to solve the existing problems or to explore new opportunities. These two approaches are considered as negative & positive approach respectively. One aspect of the negative approach forces some corporations to go for ERP to solve their Y2K problem. This is particularly true for those corporations that are heavily dependent on legacy systems running on old main frames. The second aspect of the negative approach is to get over the problems of islands of heterogeneous and incompatible information systems that were developed over the past several years in many organizations.
Functional IS modules representing areas such as Finance, Marketing, HR, and Production in these organizations would be running on diverse hardware and software platforms leading to nearly insurmountable problems of reconciling data locked up among the diverse systems. From a positive perspective many organization look at the great opportunity provided by ERP software that lead to almost instant access of transactional information across the corporation. Such an information rich scenario permits organization to reduce inventory across multiple units/ departments/ plants; reduce cycle times from weeks to hours; and improve customer satisfaction by orders of magnitude. All these translate to increased profitability or increase in market share and in turn much larger market capitalization.
However ERP is only means and not an end by itself. ERP provides an opportunity for a corporation to operate as an agile entity to improve production / operation, customer service and customer satisfaction. The creative ingenuity of an organization to drive towards these corporate goals determines the extent of success an ERP implementation can deliver.

Advantages of ERP
In the absence of an ERP system, a large manufacturer may find itself with many software applications that do not talk to each other and do not effectively interface. Tasks that need to interface with one another may involve:

Design engineering (how to best make the product)
Order tracking from acceptance through fulfillment
Revenue cycle from invoice through cash receipt
Managing interdependencies of complex Bill of Materials
Tracking the 3-way match between Purchase orders (what was ordered), Inventory receipts (what arrived), and Costing (what the vendor invoiced)
Accounting for all of these tasks, tracking the Revenue, Cost and Profit on a granular level.
Change how a product is made, in the engineering details, and that is how it will now be made. Effective dates can be used to control when the switch over will occur from an old version to the next one, both the date that some ingredients go into effect, and date that some are discontinued. Part of the change can include labeling to identify version numbers.

Some security features are included within an ERP system to protect against both outsider crime, such as industrial espionage, and insider crime, such as embezzlement. A data tampering scenario might involve a disgruntled employee intentionally modifying prices to below the breakeven point in order to attempt to take down the company, or other sabotage. ERP systems typically provide functionality for implementing internal controls to prevent actions of this kind. ERP vendors are also moving toward better integration with other kinds of information security tools.

One of the most important advantages of ERP is its accounting applications. It can integrate the cost, profit, and revenue information of sales that are made, and it can be presented in a granular way. Enterprise Resource Planning can also be responsible for altering how a product is manufactured. A dating structure can be set up which can allow the company to be informed of when their product should be updated. This is important, because it will allow the company to keep better track of their products, and it can allow the products themselves to be produced with a higher level of quality. Another area where ERP can be an indispensable tool is the area of security. It can protect a company against crimes such as embezzlement or industrial espionage.

However, with all the advantages that ERP offers, there are a number of disadvantages as well. Perhaps one of the biggest disadvantages to this technology is the cost. At this time, only large corporations can truly take advantage of the benefits that are offered by this technology. This leaves most small and medium sized businesses in the dark. A number of studies have shown that the biggest challenges companies will face when trying to implement ERP deals with investment. The employees must be continually trained on how to use it, and it is also important for companies to make sure the integrity of the data is protected.

SAP systems and landscapes

All SAP data exists and all SAP software runs in the context of an SAP system. A system consists of a central relational database and one or more application servers (”instances”) accessing the data and programs in this database. A SAP system contains at least one instance but may contain more, mostly for reasons of sizing and performance. In a system with multiple instances, load balancing mechanisms ensure that the load is spread evenly over the available application servers.
Installations of the Web Application Server (landscapes) typically consist of three systems: one for development, one for testing and quality assurance, and one for production. The landscape may contain more systems, e.g. separate systems for unit testing and pre-production testing, or it may contain fewer, e.g. only development and production, without separate QA; nevertheless three is the most common configuration. ABAP programs are created and undergo first testing in the development system. Afterwards they are distributed to the other systems in the landscape. These actions take place under control of the Change and Transport System (CTS), which is responsible for concurrency control (e.g. preventing two developers from changing the same code at the same time), version management and deployment of programs on the QA and production systems.
The Web Application Server consists of three layers: the database layer, the application layer and the presentation layer. These layers may run on the same or on different physical machines. The database layer contains the relational database and the database software. The application layer contains the instance or instances of the system. All application processes, including the business transactions and the ABAP development, run on the application layer. The presentation layer handles the interaction with users of the system. Online access to ABAP application servers can go via a proprietary graphical interface, the SAPGUI, or via a Web browser.

The original SAP idea was to provide customers with the ability to interact with a common corporate database for a comprehensive range of applications. Gradually, the applications have been assembled and today many corporations, including IBM and Microsoft, are using SAP products to run their own businesses.

SAP applications, built around their latest R/3 system, provide the capability to manage financial, asset, and cost accounting, production operations and materials, personnel, plants, and archived documents. The R/3 system runs on a number of platforms including Windows 2000 and uses the client/server model. The latest version of R/3 includes a comprehensive Internet-enabled package.

SAP has recently recast its product offerings under a comprehensive Web interface, called mySAP.com, and added new e-business applications, including customer relationship management (CRM) and supply chain management (SCM).

SAP is a visionary company that could visualize the emergence of ERP twenty years back. Its flagship product R/3 also capitalized the client-server technology in late 80's, which was the right time to leverage client-server technology for mission critical applications. Both these points put together gave SAP a formidable early-bird advantage. The majority of the "top ten" companies (classified using every measure - annual turnover, profitability or market capitalization) in the world are with SAP today.
Many leading companies such as Microsoft in software, Intel in microprocessor, IBM, HP, Compaq & Digital (today only Compaq) in computer industry are with SAP. Naturally, SAP not only has a large market share but also the "mind share" of the users. With increase in globalization of the large companies, the corporate decision of a company to go for SAP automatically translates to SAP installation in dozens, if not hundreds of the subsidiaries of the parent organization. This keeps SAP growing continuously.
The "strategic selling" concept perfected by SAP keeps its partners happy all the time. For every dollar which SAP earns, its partners (implementation partners such as the "big six" consulting firms, hardware partners such as Compaq and software partners such as Microsoft) earn five dollars! Naturally the partners keep recommending SAP to all their clients. SAP's absence from "direct consulting" has indirectly helped SAP. The "big six" in particular have been extremely supportive of SAP. SAP's sales pitch has been more business oriented than technology oriented. SAP should be given the special credit for taking the software decisions to the boardroom. SAP style of selling the ERP concept to senior-most executives of the corporation (including the chief executive) often bypassing the MIS departments, is unprecedented in software selling. By a process of certification of every component involved in ERP - servers, operating systems, DBMS, Consultants and even installers of the software - SAP has created a strong brand loyalty and premium quality image.
By restricting and closely monitoring access to training through its Partner academy, SAP has created a high-class of Certified Consultants who demand extremely high premium. Until recently SAP did not permit any one, other than its partners, to offer training on SAP products. This created scarcity of trained consultant, which in turn increased the market value of the consultant. This point alone has resulted in unrealistic ambitions amongst potential consultants. Teaching shops exploit this unrealistic expectation. Fuelling on each other, the trainee consultants & training houses almost enacted the drama of the "Californian gold rush" in the last few months.

From Start-Up Software Vendor to Global Market Leader
Over the course of three decades, SAP has evolved from a small, regional enterprise into a world-class international company. Today, SAP is the global market leader in collaborative, inter-enterprise business solutions. The company now employs more than 51,200 people, whose commitment and innovative spirit pace our future success.

The 1970s: A Real-Time Vision

In 1972, five former IBM employees – Dietmar Hopp, Hans-Werner Hector, Hasso Plattner, Klaus Tschira, and Claus Wellenreuther – launch a company called Systems Applications and Products in Data Processing in Mannheim, Germany. Their vision: to develop standard application software for real-time business processing. One year later, the first financial accounting software was complete, forming the basis for the continuous development of other software components in what later came to be known as the "R/1 system." "R" stands for real-time data processing. By the end of the decade, intensive examination of SAP's IBM database and dialog control system leads to the birth of SAP R/2.

The 1980s: Rapid Growth

SAP moves into the company's first building on Max-Planck-Strasse in an industrial park in Walldorf, near Heidelberg. Our software development area and its 50 terminals are all now under one roof. Fifty of the 100 largest German industrial firms are already SAP customers.
The SAP R/2 system attains the high level of stability of the previous generation of programs. Keeping in mind its multinational customers, SAP designs SAP R/2 to handle different languages and currencies. With this and other innovations in SAP R/2, SAP sees rapid growth.
By the middle of the decade, SAP founds its first sales organization outside Germany, in Austria. The company makes its first appearance at the CeBIT computer fair in Hanover, Germany. Revenues reach DM 100 million (around $52 million), earlier than expected.
In August 1988, SAP GmbH becomes SAP AG. Starting on November 4, 1.2 million shares are listed on the Frankfurt and Stuttgart stock exchanges.
Germany's renowned business journal, manager magazine, names SAP its Company of the Year – a distinction we would receive twice more in the next few years.
With the founding of subsidiaries in Denmark, Sweden, Italy, and the United States, SAP's international expansion takes a leap forward.

The 1990s: A New Approach to Software and Solutions

SAP R/3 is unleashed on the market. The client-server concept, uniform appearance of graphical interfaces, consistent use of relational databases, and the ability to run on computers from different vendors meets with overwhelming approval. With SAP R/3, SAP ushers in a new generation of enterprise software – from mainframe computing to the three-tier architecture of database, application, and user interface. To this day, the client-server architecture is the standard in business software.
A growing number of subsidiaries are managed out of Walldorf. The new Sales and Development Center in Walldorf officially opens it doors. It symbolizes the global success of the company. In our twentieth year, our business outside Germany exceeds 50 percent of total sales for the first time.
By 1996, the company has earned 1,089 new SAP R/3 customers. At the end of the year, SAP R/3 has been installed in more than 9,000 systems worldwide.
SAP celebrates its twenty-fifth anniversary in 1997 and now employs approximately 12,900 people. We continue to strengthen our industry focus and build more and more industry-specific solutions. Henning Kagermann becomes Co-Chairman and CEO of SAP AG with Hasso Plattner. On August 3, 1998, the letters S-A-P appear for the first time on the Big Board at the New York Stock Exchange (NYSE), the largest stock exchange in the world.
As the decade draws to a close, Hasso Plattner, Co-Founder, Co-Chairman, and CEO announces the mySAP.com strategy, heralding the beginning of a new direction for the company and our product portfolio. mySAP.com links e-commerce solutions to existing ERP applications, using state-of-the-art Web technology.

GOOD KNOWLEDGE PROVIDED BY TEAM SAP INDIA:

Let me share some more information on ERP, as the one who wants to build-up his/her career in SAP, need to have knowledge of ERP first, as SAP is the world's largest ERP software provider in the Industry and has captured 61% of ERP market:

Advantages
In the absence of an ERP system, a large manufacturer may find itself with many software applications that cannot communicate or interface effectively with one another. Tasks that need to interface with one another may involve:

ERP systems connect the necessary software in order for accurate forecasting to be done. This allows inventory levels to be kept at maximum efficiency and the company to be more profitable.
•Integration among different functional areas to ensure proper communication, productivity and efficiency
•Design engg (how to best make the product)
•Order tracking, from acceptance through fulfillment
•The revenue cycle, from invoice through cash receipt
•Managing inter-dependencies of complex processes bills of materials
•Tracking the three-way match between purchase order (what was ordered), inventory receipts (what arrived), and costing (what the vendor invoiced)
•The accounting for all of these tasks: tracking the revenue, cost and profit at a granular level.

ERP Systems centralize the data in one place. Benefits of this include:

•Eliminates the problem of synchronizing changes between multiple systems - consolidation of finance, marketing and sales, human resource, and manufacturing applications
•Permits control of business processes that cross functional boundaries
•Provides top-down view of the enterprise (no "islands of information"), real time information is available to management anywhere, anytime to make proper decisions.
•Reduces the risk of loss of sensitive data by consolidating multiple permissions and security models into a single structure.
•Shorten production leadtime and delivery time
•Facilitating business learning, empowering, and building common visions

ERP systems typically provide functionality for implementing internal controls to prevent actions of this kind. ERP vendors are also moving toward better integration with other kinds of information security tools.
Disadvantages
Problems with ERP systems are mainly due to inadequate investment in ongoing training for the involved IT personnel - including those implementing and testing changes - as well as a lack of corporate policy protecting the integrity of the data in the ERP systems and the ways in which it is used.

Disadvantages
•Customization of the ERP software is limited...
•Re-engineering of business processes to fit the "industry standard" prescribed by the ERP system may lead to a loss of competitive advantage.
•ERP systems can be very expensive (This has led to a new category of "ERP light" solutions)
•ERPs are often seen as too rigid and too difficult to adapt to the specific workflow and business process of some companies—this is cited as one of the main causes of their failure.
•Many of the integrated links need high accuracy in other applications to work effectively. A company can achieve minimum standards, then over time "dirty data" will reduce the reliability of some applications.
•Once a system is established, switching costs are very high for any one of the partners (reducing flexibility and strategic control at the corporate level).
•The blurring of company boundaries can cause problems in accountability, lines of responsibility, and employee morale.
•Resistance in sharing sensitive internal information between departments can reduce the effectiveness of the software.
•Some large organizations may have multiple departments with separate, independent resources, missions, chains-of-command, etc, and consolidation into a single enterprise may yield limited benefits.

Whatever, anyone who wants to do a course need to see 3 important things
1. Trainer's knowledge
2. Presentation skills(make us comfortable and confident)
3. Trainer's discipline
If you find 3 things in any faculty join bliindly. Don't get influenced by friends or institute names. You can attend demo right? Attend, enquire and join. It's not money which will get wasted if you join wrong institute or wrong faculty, It's 1. Time 2. Confidence and 3. Josh/Zeal which you loose. And it is very difficult to get them back.
Just to add to help SAP seekers i have seen faculty Mr. Ramcharan who has these 3 qualities. He will not make any kind of promises nor will get you job. He will impart the necessary knowledge to be successful and confident. He has tremendous knowledge and fabulous expressive skills and is highly desciplined. You see such type very rarely.

Recently completed training online in sap-crm and felt satisfied with the knowledge and explanation. It's very difficult to find genuine faculties that too online. I have been waiting for a faculty who has decent knowledge and explain well and being in some other location, with busy schedule everyday, without seeing faculty directly it is risky. After seeing my friend's reviews about rcstudentclub i attended demo online and later joined the course. I was happy the way RC took classes and the patience he has to explain again and again.

http://rcstudentclub.wordpress.com/ is helpful for all those who want to undergo online training in sap-crm from Ramcharan sir and this dedicated student community will suggest faculties/institutes genuinely for other modules also.Hope they introduce other modules soon.
